Position Summary:
We are looking for an organized and proactive Project Manager to lead our marketing operations, ensuring seamless planning, coordination and execution of projects across internal and external teams. The ideal candidate will manage timelines, oversee project planning, handle freelancer and vendor management, and uphold quality standards, all while ensuring adherence to budgets.
Key Responsibilities:
- Project Management: Develop and manage project plans, timelines, budgets, and workflows for marketing initiatives, coordinating with cross-functional teams to ensure on-time delivery.
- Timeline Coordination: Track and communicate progress on internal and external deadlines, managing creative production schedules with a focus on efficient delivery, timelines, and team alignment.
- Freelance and Vendor Management: Source, onboard, and manage freelancers and external vendors, providing clear briefs, ongoing two-way communication, and ensuring high-quality deliverables.
- Resource Allocation: Ensure that the right resources (both personnel and budget) are allocated to each project. This may involve negotiating/re-negotiating priorities or reallocating resources as project needs evolve.
- Quality Control: Oversee quality assurance checks on all creative assets, maintaining brand consistency and attention to detail across all channels.
- Budget Management: Monitor and report on project budgets, track expenses, and ensure efficient use of resources to maximize ROI.
- Cross-functional Collaboration & Communication: Partner with marketing, brand, creative partners, and Finance to align project objectives, budgets and expectations.
- Process Optimization: Continually assess and improve processes, implementing best practices to streamline workflows and enhance efficiency.
- Process Documentation: Develop and maintain detailed project documentation, including scope, timelines, budgets, deliverables, and processes, to ensure clarity and support post-project evaluations.
Qualifications:
- Education: Bachelor’s degree in Marketing, Business, Project Management, or a related field.
- Experience: 3+ years of experience in project management, ideally within marketing or a creative field, with a strong focus on marketing operations and project workflows.
- Asana Proficiency
- Technical Skills: Microsoft Suite, including but not limited to Outlook, Word, Excel, Powerpoint, etc. Extensive understanding of Asana’s advanced functionalities, including timeline management, workload balancing, automation, and reporting tools. Experience with other project management platforms (e.g., Trello, Monday.com) is advantageous.
- Marketing Knowledge: Strong understanding of marketing operations, creative timelines, and production workflows, enabling smooth project execution and timely delivery.
- Communication & Collaboration: Exceptional communication skills with a track record of working across cross-functional teams to prioritize tasks and align and to achieve project goals.
- Independence & Teamwork: Team-player capable of both independent and collaborative work in a fast-paced environment, with the ability to anticipate and adapt to evolving project needs.
- Detail-Oriented: Meticulous attention to detail, upholding high standards for project quality and accuracy.
- Quick learner: Quickly adapts to new tools and processes, applying knowledge to drive success.
- Results-oriented: Sets clear SMART goals, focuses on achieving goals efficiently, consistently delivering high-quality outcomes.
